1. Who we are

Pharmaclin is an application for community pharmacies, operated by 9531-4746 Québec inc. (“Pharmaclin”, “we”).

2. Scope and roles

This policy applies to the personal information processed in the context of the Pharmaclin application, our business relationships and our website.

The pharmacy remains responsible for the information concerning its patients. When Pharmaclin processes some of that information to carry out a function of the application, it acts on behalf of the pharmacy, solely for the purposes of that function, and protects the information it receives.

3. Information concerning patients

Patient records are kept locally in the pharmacy’s environment. Pharmaclin does not host them in a central database and performs no bulk transfer of records.

Some functions, used at the request of an authorized user, may transmit only the clinical information necessary for the requested function, with no direct identifier of the patient (name, contact details, date of birth, health insurance number or record number).

That information is used only to carry out and secure the requested function. Its processing and retention are limited to what is necessary for those purposes. It is not used for advertising purposes or to build profiles.

4. Business relationships and website

When you book a call, write to us, phone us or do business with us, we collect your professional contact details, the name and city of the pharmacy, the content of your communications and the information needed for invoicing. It is used to answer your requests, to provide the service and support, and to manage the business relationship.

The website collects no health information and uses no advertising cookies or analytics tools. Its hosting provider automatically processes technical data, such as the IP address, to display the site and protect it against abuse.

Do not send us any information concerning a patient, whether through the website, the booking, email, the phone or a support request.

5. Service providers

We use providers for hosting and security, communications, appointment booking, invoicing and certain functions of the application. They process only the information necessary for the service provided and are required to protect it.

Some providers may process information outside Québec; that communication is governed in accordance with the law.

We do not sell or rent personal information.

6. Retention and security

We keep information for the time necessary for the intended purposes or as required by law, then we destroy it or anonymize it securely.

We apply reasonable security measures, adapted to the sensitivity of the information. Pharmaclin protects the software, the transmissions and the systems under its control. The pharmacy remains responsible for its devices, its network, its staff’s access and its local backups.

7. Confidentiality incidents

In the event of an incident affecting information under our control, we take measures to reduce its consequences, we record it in a register and, where the law requires it, we notify the Commission d’accès à l’information and the people concerned. If the incident concerns a pharmacy’s information, we promptly inform the pharmacy and cooperate with it.

8. Your rights

Subject to the exceptions provided for by law, you may request access to the information we hold about you, its correction, the withdrawal of your consent or a copy of your computerized information in a structured, commonly used technological format.

Write to the person in charge: [email protected]. Access or correction requests are processed within 30 days, in accordance with the law. A request concerning a patient record must be addressed to the pharmacy responsible for that record. You may also contact the Commission d’accès à l’information du Québec.

9. Changes and governing law

We may change this policy; the last-updated date appears at the top of the page. This policy is governed by the laws applicable in Québec.
